Purpose The development and deployment of a web accessed database of our (small) company’s digital image library for use by our art and sales deparment. Core Objective: To create a basic image management database that will organize image JPGs and the information related to those JPGs. The core person providing the data will be the Portfolio art department and the core users of the data will the sales and art departments. The database is intended as an INTERNAL tool for managing available imagery and information; we do not intend to give customers or artists direct access to the database. While there may or may not be many additional uses for this database by other departments down the road, it is vital that we do not over-complicate the initial phases of development by working to make this database function as "all things to all people." This is not intended to be a full operating system; quite the contrary, it has a very specific function that has become essential to the art and sales teams. That function must be the sole focus and goal of the initial stages of development. If other functionality can be added down the road, fantastic, but it should not interfere with or delay schedules for getting the primary functions completed. Primary Goals 1) To Organize All Available Image JPGs into one Location 2) To Have Key Information Regarding Each Image JPG Available at a Glance: Title, Artist, Source, Artist ID #, and Our ID # 3) To Create a Searchable Database for Use in Creating Image Presentations for Customers: Theme, Keywords, and Usage Restrictions 4) To export completed searches into folders of selected images for customer presentation, and into excel spreadsheets with price, size, SKU# information for customer order templates. Secondary Goals 1) To Link Image JPGs to SKU Numbers Assigned by us, along with a list of what customers purchased each of the various SKUs (and dates if possible) 2) To Link Image JPGS to Publishing Contract Information so that we know at a glance if the image in under contract for a specific format, when that contract expires, etc. 3) To Link Image JPGs to Hi-Resolution File information (i.e., Is the high-res here, where can it be found, limitations on reproduction size, etc.)
