Create an automated stock management platform for our an event to replace our current manual spreadsheet-based system. The platform should streamline the process of managing booth stock, shipping requirements, and AV requirements. This will enhance efficiency, reduce errors, and simplify the planning process for our events team. Technical Requirements: 1. Cloud Platform: We will utilize a secured cloud Platform as a Service (PaaS) such as Heroku to host and manage the automated stock management platform. 2. Booth Stock Management: Develop a system to request items from our a-booth stock. Display the quantity of each item and update it accordingly once an item is requested to prevent duplication. Implement a waitlist feature for out-of-stock (OOS) items, particularly stationary items (specific items to be defined). 3. Shipping Management: Track items to be shipped to the a-booth or our warehouse in Barcelona, including giveaways, printing, gamification materials, etc. Include details such as item type, size, estimated arrival date at the location, and whether it will be disposed of or returned to the a-booth. 4. Furniture and AV Equipment (Nice-to-Have): Create an option to request furniture and AV equipment for the ECM experience arena and divisional plenaries. Allow the events team to select furniture and equipment; do not provide divisions with full reign. Add an "other" option for free typing to capture any additional divisional requirements. 5. Order Modification: Enable teams to revisit their orders/requests and make changes or add additional items without creating a new order. 6. Downloadable Item List: Provide the capability to download a list of all items requested, filtered by event area (e.g., divisional plenary, experience arena). Include details such as owner's name, division, agenda item, date, room location, and, for the experience arena, zone and station number. 7. Portal Closure: Implement the ability to close the portal, preferably before Christmas, to prevent further changes by the teams. 8. Customization Options: Explore additional customization options as needed to meet specific requirements not covered in the above points.
